We are the data controller for this website.

What we collect

  • Ticket purchases: name, email, phone number, language preference, ticket type, order amount, and photo-consent choice. Payment card data is handled directly by Stripe and never reaches our servers.
  • User accounts (optional): name, email, experience level, preferred dances, newsletter preference. Accounts are not required to buy tickets.
  • Newsletter signups: email address and (optionally) name.
  • Check-in records: a timestamp when you arrive at an event.
  • Technical data: IP address, browser type, device, pages viewed, and referring URL.

Why we process your data

  • Selling and delivering tickets — to process your order, issue your ticket, send confirmation and reminder emails, and admit you at the door. Basis: contract with you.
  • Bookkeeping and accounting — to meet Danish tax and accounting law. Basis: legal obligation.
  • Post-event review emails — to ask for feedback after an event you attended. Basis: legitimate interest in improving our events.
  • Newsletter and promotional emails — to send you news about upcoming events. Basis: your consent. You can unsubscribe at any time via the link in every email.
  • Photo and video at events — Photos and video recordings may be taken during events and used on our website and social media channels to promote our events, highlight community activities, and encourage participation in the community. The processing is based on our legitimate interest in promoting and growing the community in accordance with applicable data protection legislation. If you do not wish to appear in photos or videos, please inform event staff or contact us, and we will seek to accommodate your request where reasonably possible.
  • Website analytics and advertising — to understand site usage and reach previous visitors with ads on Meta platforms. Basis: your consent given via the cookie banner. No tracking happens before you accept.
  • Security and fraud prevention — to detect abuse and protect the site. Basis: legitimate interest.

Who we share data with

We do not sell your personal data. We share it only with the service providers we need to operate the site and deliver events, each bound by a Data Processing Agreement:

International transfers

Some processors (Stripe, MailerSend, Google, Meta) transfer data to the United States. Transfers rely on the Standard Contractual Clauses included in each processor’s Data Processing Agreement, supplemented by the EU–US Data Privacy Framework where the recipient is certified.

How long we keep your data

  • Ticket and order records: 5 years from the end of the financial year, as required by the Danish Bookkeeping Act.
  • User account data: until you ask us to delete it or close your account.
  • Newsletter subscription: until you unsubscribe.
  • Check-in logs: deleted with the related ticket record.
  • Consent records: retained as long as the consent is valid, plus a reasonable period afterwards.
  • Analytics data: Google Analytics is configured with a 14-month retention.
  • Email correspondence: up to 5 years.

Your rights

You have the right to:

  • Access the personal data we hold about you.
  • Correct data that is inaccurate or incomplete.
  • Ask us to delete your data (subject to legal retention obligations such as bookkeeping).
  • Ask us to restrict how we process your data.
  • Receive your data in a structured, machine-readable format.
  • Object to processing based on our legitimate interest.
  • Withdraw consent at any time, without affecting processing that happened before withdrawal.

Cookies and tracking

  • Strictly necessary — required for the site to work: login session, shopping cart, language preference, Stripe checkout, and cookie-consent state. These cannot be disabled.
  • Measurement / Statistics — Google Analytics 4 with IP anonymisation, to understand how the site is used. Loaded only with your consent.
  • Marketing / Advertising — Meta Pixel, used to measure ad performance and show ads on Facebook and Instagram to previous visitors. Loaded only with your consent.

When you first visit the site you will see a cookie banner operated by Iubenda. Until you give consent, only strictly-necessary cookies are set. You can change or withdraw your consent at any time via the banner.
